Generate PDFs Using Make.com

This guide walks through connecting FillFaster’s document generation module to Make.com automation scenarios to flow variable data into fixed PDF fields and produce a final signed document.

Step 1: Prepare the Source File and Set It as a Template in FillFaster

Before working in Make, prepare your document template in FillFaster: upload your PDF to your account and set it as a Template Form. For the full guide, see How to Create Template Forms.

Create a template form in FillFaster

Open a new Scenario in Make. The first module (the trigger) will be your Data Source (for example: a CRM) - add a module for your CRM system (for example: HubSpot, Monday, Salesforce, Zoho, and more) and connect your account. Choose the trigger that fits your needs, such as Watch Items/Deals (watch for new deals) or running the automation when a customer card status changes (for example: status changes to “Generate contract”).

Add the next module in the scenario and search for the FillFaster app.

Step 3: Connect Your Account and Select the Template

In the module settings window, confirm your API connection to your FillFaster account is valid and active.

In the first general field, select the Template you prepared in Step 1 from the dropdown list.

As soon as you select the template, the system calls FillFaster and automatically pulls all dynamic fields you defined in the source document.

Select the desired form template. Map the dynamic data fields to the template.

Step 5: Return the Generated PDF to Your CRM (or Send It)

The PDF file created in the previous step is now available for the rest of the scenario. We recommend returning it directly to the customer card or item in your CRM so everything is documented and archived in one place.

Saving the module configuration in Make.com

The file created in FillFaster appears as a File Object in Make.com. You can map it to actions such as:

  • Uploading to your CRM (for example HubSpot, Monday, Salesforce, and more).
  • Sending via email or WhatsApp.
  • Renaming the file if needed. (Do not forget to add .pdf to the file name.) Renaing the file if needed

In this example, the generated PDF includes:

  • Name
  • Phone
  • Email
